How to manage your time so you don’t miss out on sales

When you have 101 tasks on your to do list it can be difficult and stressful trying to work out how you’re going to get through them all, let alone find time to implement all the great ideas that Kyero keep suggesting you should be doing as well.

That’s why this week on the blog we’re talking time management.


If you can learn how to manage your time more effectively you’ll get more done in less of it. Leaving plenty of opportunity to concentrate on tasks that will directly impact sales such as following up enquiries and creating lead-generating property profiles. As an added benefit you’ll also feel more relaxed, in control and better able to cope with anything that’s thrown at you.

#1: Plan your day

Either first thing in the morning – or preferably last thing the night before – write a list of things you plan to cover off during your day. Give yourself a rough idea of how long tasks are likely to take and therefore when you’re going to do them. Some people find it useful to have set slots for regular activities, for example 10-11 every morning following up enquiries. Don’t create too hectic a schedule. If you don’t even think the plan is possible when you write it you will be setting yourself up to fail.

#2: Focus on one thing at a time

Do you tend to chop and change what you’re doing? Taking phone calls one minute, greeting customers the next and dealing with queries from your staff in amongst it all. Each time your brain switches task you lose valuable time. Block out distractions, nominate another team member to answer the phone and shut yourself away in your office when you just need to get stuff done. If something flies into your head while you’re supposed to be concentrating simply write it down and come back to it later.

#3: Sync your calendar

Use technology to your advantage by syncing your online calendar (Outlook, Google or similar) with your mobile phone so that you can always see your schedule while you’re on the move. This will ensure you never miss an appointment and you can manage your diary no matter where you are.

#4: Delegate effectively

If you have other team members working with you, make sure you’re using them to the best effect. Allocate responsibilities within the team so that not everything falls to you, and try to hand off tasks completely without hovering around to make sure they’re done correctly. This will give you the headspace to get other, more important jobs done.

#5: Prioritise key tasks

When you’re planning your day, prioritise the tasks on your to do list. Make sure that everything you are focusing on is in line with your overall strategy and goals. Anything that doesn’t move you forward should either be cut from the list or delegated down to more junior members of the team.

#6: Batch similar tasks

The most efficient way to get things done is to do similar tasks at the same time. For example, if you have a number of leads to follow up by phone or email, shut yourself away for half an hour and get them all done at the same time. Similarly, if you have a few profile descriptions to write do them all in one go. Your brain will work quicker when it is not being forced to switch between different activities.
